Mona Realty CRM

A clearer next step for every client conversation.

Timex built a custom CRM for Mona Meenakshi, connecting real estate inquiries, property information, email review and appointments in one workspace. AI prepares useful context; the owner stays in control of client conversations.

The brief

Keep the conversation connected to the work.

A buyer inquiry can lead to property research, an email reply, a showing and another follow-up. The system brings those steps together around the contact record, so the next action can be reviewed alongside the details that explain it.

The build separates preparation from decisions. Saved requirements and property records provide context, scheduled tasks make due work visible, and editable AI drafts support review before a substantive reply is sent.

Inside the project

Four connected workflows inside the CRM.

Each workflow has a defined job and a visible point for review. The illustrations below explain the implemented process without displaying client records.

01

Lead pipeline

Buyer and seller inquiries stay connected to contact details, their source, property requirements, notes and a follow-up date.

  1. Capture the inquiry
  2. Review requirements
  3. Update the stage
  4. Set the follow-up

Priority scores use information the contact provides. Mona reviews requirements before reaching out.

02

AI email assistant

Connected Gmail and Microsoft 365 inboxes feed an email review workflow. AI summarizes messages and prepares drafts using the conversation and relevant saved property information.

  1. Check connected inboxes
  2. Summarize the message
  3. Prepare a reply draft
  4. Review and approve

Substantive replies need owner approval. A simple receipt acknowledgement is a separate, configurable step.

03

Follow-ups & calendar

Saved follow-up dates become tasks. Consultations and showings can be scheduled in the CRM, with linked Outlook appointments and owner reminders when connected and enabled.

  1. Set a due date
  2. Schedule the appointment
  3. Check Outlook sync
  4. Review the reminder

Conflicting calendar changes need review. Owner reminders and attendee invitations are separate actions.

04

Today & reports

The daily view brings together due follow-ups, appointments in the next 24 hours, replies awaiting review and connection status, with an exportable operations report.

  1. Review today's work
  2. Check pending replies
  3. Open the next action
  4. Export the report

The view reports saved CRM activity. Connection warnings stay visible so work needing a manual check can be identified.

The practical outcome

What the workspace makes possible.

Context stays with the contact

Inquiry source, requirements, saved notes, stage and next follow-up sit in the same record. Property suggestions use saved details and the buyer's stated requirements.

Replies start with a reviewed draft

Connected Gmail and Microsoft 365 messages can be summarized and prepared for approval. The owner can edit the wording and check property facts before sending a substantive reply.

The working day has a clear overview

Due follow-ups, upcoming appointments, replies awaiting review and connection status appear in the daily view. CSV exports make saved operations and contact information available for further review.

This case study describes implemented workflows and their practical purpose. It does not report measured sales growth or time savings.
